Screening Criteria

Thank you for your interest in a rental home managed by Oregon Real Estate Group LLC. Before submitting an application or paying an application screening charge, please carefully review the following policies, procedures, rental requirements, fees, and screening criteria.

Individual properties may have additional requirements or restrictions. Please review the specific property advertisement and application before applying.

Applicants are expected to conduct themselves appropriately and cooperate throughout the showing, communication, verification, and application process. Derogatory, offensive, threatening, harassing, combative, intoxicated, or disorderly conduct may result in denial of the application. Applications may also be denied if they are unpaid, incomplete, contain inaccurate or falsified information, or otherwise fail to meet the stated screening criteria.

Requirements to Apply

  • Each person 18 years of age or older who will occupy the property must submit a separate application. All occupants under the age of 18 must be listed on the application.
  • Applications will not be processed until all adult applicants have completed and electronically signed their applications, paid the applicable screening charge, and submitted all required information and documentation.
  • Application Screening Charge: $65 per adult applicant.
  • All applicants must complete OurPetPolicy, even if you do not have a pet or assistance animal. If you have no animals, simply select "No Pet." — Complete OurPetPolicy Screening
  • An application is not considered complete or submitted until the applicable screening charge has been paid. Application screening charges are generally non-refundable once screening has been conducted. If Oregon Real Estate Group LLC does not screen an applicant, the screening charge will be refunded.

Please do not submit an application or screening charge until you have reviewed and agree to these screening criteria and application requirements.

Property Showings

Applicants are asked to view the exterior of the property before scheduling an interior showing. Properties are generally not available for interior viewing until the advertised availability date. Please do not disturb current occupants.

Oregon Real Estate Group LLC may utilize ShowMojo for self-guided property showings. ShowMojo may require applicants to complete an identity verification process before scheduling or accessing a self-guided showing.

Application Processing

Applications are processed on a first-completed, first-served basis.

An application is not considered complete until all adult applicants have submitted:

  1. A completed and electronically signed application;
  2. The applicable $65 screening charge;
  3. Valid government-issued photo identification;
  4. Required income verification;
  5. Pet screening information, if applicable; and
  6. Any other requested supporting documentation.

Applicants generally have 24 hours from application submission to provide all required information and documentation. Failure to provide the requested information may result in cancellation of the application.

Applications may result in:

  • Approval;
  • Conditional approval with an additional security deposit;
  • Conditional approval with a qualified co-signer; or
  • Denial.

Approved applicants must confirm acceptance of the property within 24 hours of notification.

Screening & Verification

Oregon Real Estate Group LLC may verify information provided by applicants, including:

  • Identity
  • Income and employment
  • Rental history and landlord references
  • Credit history
  • Public records
  • Criminal history, as permitted by applicable law
  • Pet information
  • Other information reasonably related to qualification for tenancy

Applicants are responsible for providing accurate, complete, and verifiable information.

Oregon Real Estate Group LLC generally requires application information to be verifiable within 48 hours after screening begins. Applicants who choose manual verification or whose information cannot be verified electronically may be required to provide additional documentation, which may extend processing time.

Applicants have the right to dispute inaccurate information provided by a consumer reporting agency or tenant screening company.

Income Verification Through Plaid

Oregon Real Estate Group LLC utilizes Plaid for secure income verification.

Applicants using Plaid will be asked to securely connect an eligible financial account so that qualifying income information can be verified electronically.

Oregon Real Estate Group LLC does not receive an applicant's online banking username or password through this process. Information made available through the verification process is used to evaluate and verify the applicant's reported income.

Applicants who choose not to use Plaid may be required to provide additional documentation manually. Manual verification may require multiple documents and may result in a longer application processing time.

Manual Income Verification

If Plaid is not used, is unavailable, or additional documentation is necessary, applicants may be required to provide the following:

Employees: At least two consecutive months of pay stubs from each employer. Other applicable documentation may include Social Security, disability, retirement, or other benefit award letters and two months of bank statements.

Self-Employed Applicants: The most recent two years of signed tax returns and the most recent three months of bank statements.

New Employment: An accepted employment offer letter confirming compensation and start date. The letter must be on company letterhead and signed and dated by the employer or authorized representative.

Additional documentation reasonably necessary to verify lawful income may be requested.

Income & Financial Qualifications

Combined household gross monthly income must equal at least 2.5 times the monthly rent and must come from a legal, verifiable source. Applicants who do not meet the minimum income requirement may not qualify unless otherwise permitted under the screening criteria.

Income Verification: Applicants must provide three consecutive months of current pay stubs and three consecutive months of complete bank statements, with all pages included and no omissions, unless income is verified through an approved third-party verification service such as Plaid.

Savings and investment accounts may be considered in lieu of income when qualifying balances equal at least five times the total rent due during the lease term. A combination of qualifying income and liquid assets may also be considered. Bank statements may be accepted when being used to verify assets or savings.

Lawful sources of income will be considered in accordance with applicable fair housing laws.

Identity Verification

Oregon Real Estate Group LLC utilizes Plaid for identity verification. Applicants may be asked to securely submit a photograph of a government-issued identification document and complete a biometric/selfie identity verification.

Information obtained through this process is used for identity verification and fraud-prevention purposes. Applicants may review information regarding Plaid's privacy and security practices.

Applicants may be required to upload a legible copy of any of the following:

  • SSN card
  • Permanent resident card
  • Immigrant visa
  • ITIN
  • Non-immigrant visa
  • Any government-issued ID
  • Any combination of IDs for reasonable verification

Required Documents

Applicants should be prepared to provide, as applicable:

  • Driver's license or other government-issued photo identification.
  • At least two consecutive months of pay stubs from each employer.
  • Social Security, disability, retirement, or other applicable award letters.
  • Bank statements when required to verify income or assets.
  • For self-employed applicants, the most recent two years of signed tax returns and three months of bank statements.
  • For new employment, an accepted employment offer letter stating compensation and start date on company letterhead and signed and dated by the employer or authorized representative.
  • Housing assistance or subsidy information, when applicable.
  • Any additional documentation reasonably necessary to verify information provided in the application.

Housing Assistance & Third-Party Rent Payments

Applicants receiving housing assistance, a rental voucher, government subsidy, or other third-party assistance must disclose the source of assistance and provide the information necessary for verification.

If applicable, the following documents and information are required:

  • RFTA or RTA form (Lead-Based Paint Disclosure Form if applicable)
  • TANF documentation
  • Disclosure of the party responsible for paying the security deposit
  • Case worker contact information, including full name, email address, and phone number

All requested documents must be submitted within 48 hours. Failure to provide the required documentation may result in the application being considered incomplete and cancelled, and an Adverse Action Letter may be issued.

Participation in a housing assistance, voucher, or rental subsidy program will not, by itself, adversely affect an applicant's eligibility. Oregon Real Estate Group LLC considers lawful sources of income in accordance with applicable fair housing requirements.

Credit Screening

  • Credit score must be a minimum of 600. If the score is under 600 it will result in denial of application. Credit history evaluation may include review of payment history, collections, outstanding debt obligations, public records, and other risk-related credit factors.
  • Credit reports marked "No Credit Score" or "N/A" are acceptable as long as there are no other negative areas in the overall application, but will require an additional security deposit. Applications with any negative items will be denied.
  • Three or more accounts in collections (not including student loan and medical bills) will result in denial of application.
  • Discharged bankruptcy within the last 5 years will require an additional security deposit being charged. Chapter 7 bankruptcy filed within the last 12 months or current pending bankruptcies will result in automatic denial of application. Applicants with a current Chapter 13 bankruptcy may be conditionally approved if the bankruptcy is over 3 years old, in good standing and no negative or adverse debts have been established since then.
  • Negative credit scoring or adverse debt showing on consumer credit report may result in denial or require additional security deposits and/or acceptable cosigners.

Applicants are responsible for ensuring that any credit report required for screening is accessible when their application is processed.

If you have placed a security freeze on your credit file, please temporarily lift the freeze before screening begins to avoid delays. Information about managing an Equifax credit freeze is available through Equifax Credit Freeze Services.

Rental History

  • Three consecutive years of verifiable rental history from a current unrelated, third party landlord, or home ownership, is required.
  • Three or more notices for nonpayment of rent within one year will result in denial of the application.
  • Three or more dishonored checks within one year will result in denial of the application.
  • Rental history reflecting any past due and unpaid balances to a landlord will result in denial of the application except for unpaid rent, including rent reflected in judgments or referrals of debt to a collection agency, that accrued on or after April 1, 2020, and before March 1, 2022.
  • Less than twelve months verifiable rental history will require a security deposit not to exceed one and a half month's rent and/or qualified co-signer.
  • Rental history including three or more noise disturbances or any other material noncompliance with the rental agreement or rules within the past two years will result in denial.

Rental history and landlord references will be verified as part of the screening process.

Eviction History Criteria

  • Five years of eviction-free history is required except for general eviction judgments entered on claims that arose on or after April 1, 2020, and before March 1, 2022. Eviction actions that were dismissed or resulted in a judgment for the applicant or when the applicant has provided supplemental evidence proving that they suffered a job loss due to no fault of their own will not be considered. If your eviction was related to a non-behavioral issue, you may provide supplemental evidence as instructed herein and that information will be considered.

Criminal History

A single conviction, or pending charges that have not yet been adjudicated for any of the following, subject to the results of any review process, shall be grounds for denial of the rental application.

  • Felonies involving: murder, manslaughter, arson, rape, kidnapping, child or other violent/predatory sex crimes or manufacturing or distribution of a controlled substance.
  • Felonies not listed above involving: drug-related crime; person crime; sex offense; crime involving financial fraud, including identity theft and forgery; or any other crime if the conduct for which applicant was convicted or is charged is of a nature that would adversely affect property of the landlord or a tenant or the health, safety or right of peaceful enjoyment of the premises of the residents, the landlord or the landlord's agent, where the date of disposition has occurred in the last 7 years.
  • Misdemeanors involving: drug related crimes, person crimes, sex offenses, domestic violence, violation of a restraining order, stalking, weapons, criminal impersonation, possession of burglary tools, financial fraud crimes, where the date of disposition has occurred in the last 5 years.
  • Misdemeanors not listed above involving: theft, criminal trespass, criminal mischief, property crimes or any other crime if the conduct for which applicant was convicted or is charged is of a nature that would adversely affect property of the landlord or a tenant or the health, safety or right of peaceful enjoyment of the premises of the residents, the landlord or the landlord's agent, where the date of disposition has occurred in the last 3 years.
  • Conviction of any crime that requires lifetime registration as a sex offender, or for which applicant is currently registered as a sex offender, will result in denial.

Criminal history will be considered only as permitted by applicable federal, state, and local laws.

Co-Signers

Co-signers are generally not accepted. An exception may be made for applicants who are enrolled as full-time students at an accredited educational institution and meet the following criteria.

For purposes of this criteria, a full-time student is an individual enrolled in the number of credit hours or coursework required by the educational institution to maintain full-time student status. Documentation verifying current full-time enrollment must be provided.

A proposed co-signer must be a parent or legal guardian with a documented financial support relationship to the student, as determined by the Landlord. Landlords may require documentation reasonably establishing the relationship between the applicant and proposed co-signer.

All co-signers must complete a rental application, meet all screening criteria independently, and execute the lease agreement as a financially responsible party. Each co-signer will be evaluated under the same standards applied to applicants, including income, credit, rental history, and criminal background criteria.

Only one co-signer is allowed per tenancy. The approved co-signer is responsible for all tenants.

Approval, Holding Deposits & Lease Execution

Approved applicants must confirm acceptance of the property within 24 hours of notification.

Within 48 hours of approval, approved applicants must either:

  • Execute the rental agreement and pay all required move-in funds; or
  • Execute an approved reservation deposit agreement and submit the required holding deposit.

Failure to complete the required steps within the applicable timeframe may be considered a refusal of the property, and Oregon Real Estate Group LLC may proceed with the next qualified applicant.

Unless otherwise approved in writing, applicants must take possession of the property or begin paying rent within 14 days of approval.

Security Deposits & Move-In Funds

Qualified applicants typically pay a security deposit equal to one month's rent less $100, subject to the property's advertised terms and screening results.

A full month's rent and security deposit are due prior to move-in regardless of the move-in date. When applicable, the second month's rent will be prorated based upon the move-in date.

Move-in funds must be paid by cashier's check, money order, certified funds, or another payment method approved by Oregon Real Estate Group LLC.

Cash and personal checks are not accepted for move-in funds.

Pet Policy

Most properties allow a maximum of two pets, subject to the individual property's pet policy.

All pets must be submitted through Our Pet Policy for screening and approval — Complete OurPetPolicy Screening

Pet restrictions may include breed, age, size, insurance requirements, and documented histories of aggression or property damage. Puppies and kittens under one year of age are not permitted.

Dog breeds generally not accepted include, but are not limited to:

Akita, Alaskan Malamute, American Staffordshire Terrier, American Wolf Dog, Bullmastiff, Cane Corso, Chow Chow, Doberman Pinscher, German Shepherd, Great Dane, Husky, Mastiff, Neapolitan Mastiff, Pit Bull, Pit Bull Mix, Presa Canario, Pyrenean Mastiff, Rottweiler, Siberian Husky, Staffordshire Bull Terrier, St. Bernard, Tibetan Mastiff, Wolf Dog, and Wolf Dog Mix.

Additional property-specific or insurance restrictions may apply. Approved pets increase the security deposit by $500 per pet, unless otherwise stated for the property.

All animals including Pets and Assistance Animals (animals required because of a disability) need to yearly have all information up to date. For standard household pets, there is an annual charge of $35 for the first pet, and $20 for any subsequent pets, paid to OurPetPolicy. There is no cost for indicating that there are no animals in the unit, and there is no cost for assistance animals.

Assistance Animals

Assistance animals are not pets. Pet deposits, pet fees, breed restrictions, age restrictions, and other pet-specific requirements do not apply to an animal approved as a reasonable accommodation under applicable law.

Applicants requesting a reasonable accommodation for an assistance animal must complete Oregon Real Estate Group's applicable accommodation and verification process and provide supporting information when permitted by law by visiting Our Pet Policy for screening and approval — Complete OurPetPolicy Screening

Utilities & Use of Property

Residents are responsible for establishing all tenant-responsible utilities in their name prior to move-in. The property may only be used as a residential dwelling unless prior written authorization for another permitted use is obtained from the landlord.

Rent & Late Fees

Rent is due on the 1st of each month and is considered late after the 5th. Late fees are assessed at the greater of $100 or 10% of the monthly rent per occurrence, as provided in the rental agreement and permitted by Oregon law. Returned or dishonored payments are subject to a $35 NSF fee, applicable late fees, and any other charges permitted by law and the rental agreement.

Tenant Fees & Charges

Approved requests to add, remove, or substitute an occupant are subject to applicable screening requirements and a $350 non-refundable administrative fee. Unauthorized occupant changes constitute a lease violation and may result in a $350 fee or penalty, as permitted by the rental agreement and applicable law.

Tampering with, removing, disabling, or otherwise rendering a smoke or carbon monoxide alarm inoperable may result in a $250 fee and/or lease violation.

A $50 administrative fee may be assessed for violations including:

  • Failure to pay tenant-responsible utilities
  • Failure to clean or remove pet waste
  • Failure to remove garbage or debris
  • Parking violations or improper vehicle use

The early lease termination fee is equal to one and one-half (1.5) months' rent, in addition to any other amounts permitted by Oregon law and the rental agreement.

Maintenance & Property Care

Residents must promptly report maintenance issues and repair needs in writing. Residents may be responsible for damage or repair costs resulting from negligence, misuse, failure to comply with required property-care responsibilities, failure to properly winterize exterior faucets when required, or damage involving tenant-owned appliances or equipment.

Smoking & Marijuana

Smoking is prohibited inside all Oregon Real Estate Group LLC rental properties. All properties prohibit smoking on the premises. Growing marijuana on the property is prohibited regardless of purpose.
